One of the great features of Dental Practice Pro’s employee task management system is that you can set a priority level to each task. To assign a priority level when generating a task, simply select one of three levels in the dropdown: High, Medium, or Low. How can prioritizing tasks help? Here’s an example.
Susie Smith has a few tasks to complete today and you need to assign a priority to them. The first task is to call and confirm patient appointments for the following day. This task deals with your patient schedule, which is important. Your first reaction might be to mark this task as a high priority, but there’s more tasks to be done today. The other task is to confirm insurance eligibility for patients that are starting to come into the office that day. Obviously, making calls confirming insurance eligibility of patients that are getting seated in your chair takes a greater precedence over confirming appointments. Therefore, you would assign eligibility as the high priority task, and appointment confirmation as the medium priority. Both tasks have to be completed before the end of the day, but now Susie knows which task to tackle first. This makes Susie much more efficient at completing her work.
Creating the Accountability
Assigning a level of priority to tasks is what can create the accountability you need when assigning tasks to employees. Susie has been assigned the tasks mentioned above in the proper level of priority. Susie, however, decided to do the lower priority task of appointment confirmation calls instead of calling for insurance eligibility. This results in having patients that are waiting longer than they need to, and the rest of your staff is scrambling to confirm the eligibility, which should have already been completed. In addition, other tasks are now falling to the wayside because you are making up for lost time. With the employee task manager, you can use the timestamp, and priority level when reprimanding Susie for not following your detailed instructions. This creates the accountability you need to be able to manage your employees, and eliminates any excuses for work not being done properly.
